SELECTION
When reviewing the respective offerings relating to a purchase we strongly advise that the requirements are carefully studied. We have provided a questionnaire and proposal form which may be helpful in guiding the user.
Where equipment is supplied through leasing contracts containing "click" usage pricing for maintenance and supplies it is important to list what the definition of a click is in terms of paper area (i.e. A4, A3, duplex and so on) and what is covered in the price (e.g. replacement items such as toner, drums, developer, fuser units and so forth).
STRATEGY AND MANAGEMENT
For large enterprises with significant ICT networks and security we strongly recommend a review of the options for print fleet management, initially through a pilot project to assess prospects for savings. This requires an audit of the section or sections to be involved in the pilot in order to generate a baseline of print activity.
Although the costs of desktop inkjets such as the Hewlett Packard Officejet range can appear attractive for small offices with low volume throughput such an exercise would allow comparison of a workgroup approach using MFD laser equipment.
In any case it is a good practice to ensure that a campus print strategy fits with the overall enterprise strategy for the University.
